MHI Ltd. Privacy Policy

Manitoba Hydro International Ltd. (MHI) including all of its divisions, Manitoba Hydro International Utility Services, Manitoba HVDC Research Centre, Manitoba Hydro Telecom, and W.I.R.E. Services, respects the privacy and confidentiality of our clients, employees, and web site users. The purpose of this privacy policy is to advise our website users on how MHI collects and uses, manages and discloses personal information. Our privacy policy applies to all employees and directors of MHI, as well as, contractors, suppliers, agents and representatives.

MHI adheres to the Government of Canada’s Personal Information Protection and Electronic Documents Act, as well as, our MHI Code of Conduct. The Canadian Standards Association (CSA) Model Code for the Protection of Personal Information serves as the foundation for multinational exchanges of information and data protection laws. Consistent with government legislation and the CSA code, our information privacy practices are as follows:

• Accountability —MHI is actively accountable for our clients’ personal information and ensures appropriate policies and procedures in place to protect that information;
• Identifying purposes —MHI will identify the purposes for collecting information; 
• Consent —MHI will not collect, use or disclose personal information without the consent of the client;
• Limiting collection —MHI will collect only necessary, relevant information by lawful and fair means;
• Limiting use, disclosure, and retention —MHI will not use or disclose information for purposes other than for those which it was collected without consent of the individual or organization. Information will be maintained only for as long as necessary and will not be disclosed to other parties.
• Accuracy —MHI will ensure the personal information is accurate, complete, and up-to-date as possible for the purposes for which it will be used;
• Safeguards - MHI will protect personal information using reasonable physical, administrative and procedural, and technical safeguards appropriate to its sensitivity;
• Openness —MHI will make available our management of privacy policies and practices on request to our clients;
• Individual access — clients are welcome to see and check for the accuracy and completeness of their personal information and have it amended as appropriate;
• Challenging compliance —MHI maintains a complaint procedure and a designated person to ensure compliance with privacy legislation.

Appropriate action will be taken for violations of this policy and its related practices.

MHI takes all reasonable security measures to protect personal information from loss, unauthorized access, destruction, misuse, modification and disclosure. We cannot ensure or warrant the security of any information you transmit to us and you do so at your own risk. MHI will not be liable in any way in relation to any breach of security, or unintended loss, or disclosure of information due to the site being linked to the internet.

Privacy Questions & Answers

Do I have to provide my personal information?

No. You don’t need to provide any information that identifies you or any other personal information in order to use MHI’s website. MHI receives personal information from you only with your express consent or when you voluntarily choose to provide it. Consent may be withdrawn, subject to legal or contractual agreements. We will respond to your request within ten (10) business days.

To use the portal portion of our website, an online form must be completed with your personal information and consent. We use this information to ensure that our portal users have proper access levels and associated privileges.

How does MHI collect and use my information?

MHI collects your personal information through various means including personal contact, job and co-op student applications, phone contact, submitting your e-mail and through website cookies. This information is collected to manage our ongoing relationship with you. In general, the information collected and used about you is for the purposes of:

• Providing information about MHI and its operations, including, but not limited to: newsletters, marketing information, software updates and upcoming events;
• Product purchases and support;
• Enhancing the functionality of our website;
• Managing and administering contracts;
• Meeting any legal or regulatory requirement or obligation;
• Developing and improving our products and services, website content and advertising;
• Sending important notices such as changes to our terms, conditions, and policies;

What information does MHI collect?

MHI only collects the minimum required personally identifiable data such as your name, title, company/educational institution, address, telephone and fax number, and e-mail address, when it is voluntarily submitted by you. At no time will MHI request or collect sensitive personal information.

Does MHI release my information to others?

No. We do not sell, rent, or give away your personal information. We will not release your personal information to a third party unless authorized by you or requested by a court order. All personally identifiable information collected can be disclosed to judicial or other government agencies subject to warrants, subpoenas or other governmental orders.

What about children using your website?

This site is not directed at children. We do not intentionally collect information from people under the age of eighteen (18).

Do I have to receive information from MHI?

You may choose to receive information from MHI or you may opt out at any time simply by clicking the unsubscribe link on our correspondence or by notifying us at privacy@mhi.ca.

Due to contractual obligations you may not opt out of receiving important administrative notices such as changes to our terms and conditions, general policy, warranty, and security information. This information is considered vital to your interaction with MHI. You may request to have this information deleted upon termination of your product/service agreement.

Does MHI use cookies?

When you view certain areas of our web site information may be stored on your computer. This information will be in the form of a "cookie" or similar file and will permit tailoring of the web site to better match your interests and preferences. We do not use cookies to retrieve data from your hard drive, or to obtain your email address, or to obtain any other personal information.

Additionally, MHI uses Google Analytics, a web analytics service provided by Google Inc., to provide website marketing data. How does MHI store my information and for how long?

MHI takes all reasonable security measures to protect your personal information. We maintain procedures to ensure your personal information is collected and stored in a secured manner. Information is only accessible to designated staff to carry out the stated purposes we have communicated to you. MHI retains information only for as long as necessary and as required by law.

What can I do to protect my information?

You are responsible for creating and maintaining your user ID and password. Choose a password that is not easy to guess and do not write your password down. Never share your password with anyone. No one from MHI will call or e-mail you asking for your password.

It is also important that your computer anti-virus and security software is kept up to date. When your session is complete, please ensure you properly log-off from our site and close your browser.

You are responsible for all interaction with the site occurring in connection with your password and user name. You must immediately notify MHI of any unauthorised use of your password and user name, or any other breach of security related to your account and the site.

Please ensure you clearly indicate the information you would like to change in our database. We will respond to your request within ten (10) business days. We may need to retain certain information for recordkeeping purposes and reserve the right to re-contact former users of the site for important administrative notices. You may request to have this information deleted once your product/service agreement has expired. We will not be able to comply with requests for changes to information that has been archived as part of our business operations.

What about posting my personal information to the PSCAD Forums?

MHI discourages you from posting personal, confidential, or proprietary information. Do not post information that is not intended for public use such as e-mail addresses, pictures, instant messenger logs, and confidential information. MHI terms of use and privacy policy apply to the MHI Forums and Bulletin Boards.

Does MHI’s privacy policy extend to links to external websites?

No. Our privacy policy applies exclusively to information collected by MHI and our website. The MHI website may contain links to external websites that are provided as a convenience for our users. MHI is not responsible for the privacy practices and security of these external web sites. To ensure your personal information is protected we recommend you examine the privacy policy for each website you visit.

MHI Ltd. Anti-Spam Policy

Manitoba Hydro International Ltd. fully supports Canada’s Anti-Spam Legislation Bill C-28 (CASL) expected to be in force by the end of 2012.

MHI will only send professional communications to you with your expressed or implied consent. Communications may include information about MHI and its operations, as well as newsletters, marketing information, administrative notices, software updates, and upcoming events. We do not sell, rent, or give away your personal information. We will not release your personal information to a third party unless authorized by you or requested by a court order.
Information you receive from MHI will include the following:

• a clear subject line and identification that the communication is from MHI;
• our complete contact information including the name of person sending the e-mail;

We will not install any software on your computer without your informed and expressed consent. Consistent with CASL, consent is considered to be given for computer programs such as cookies, HTML code and Javascripts used to enhance the functionality of our web site. A consent procedure is also not required for ongoing software updates and upgrades where expressed consent has previously been obtained.
